Student records are kept at the school the student is attending. Once the student completes Grade 12 or transfers out of the Calgary Catholic School District (CCSD), the student file is sent to the district’s Student Records department. When a student transfers out of the CCSD, the receiving school will contact the district to request the student file. If a student is moving outside of North America, it is recommended that prior to leaving, the student obtain a sealed copy of his or her student file from the Coordinator of District and Student Records.
The student file is the complete educational history of a student from kindergarten to Grade 12. It contains all information affecting the decisions made about the education of the student that is collected or maintained by the Calgary Catholic School District.
Access to the student file
While the student is still in the school system, the parent of any student younger than 18 years of age or a student who is over 18 may see the student file or obtain a copy by arranging with the school principal. Any other person may obtain a copy of the student file with the signed permission of the parent of a student who is younger than 18 years of age, or the signed permission of the student who is over 18 years of age.
Copies of the file can be obtained by sending a completed Student Records Request & Authorization Form to Records Management. Contact 403-500-2817 for more information.
